If I told you that we were going to use AI to automatically pull information out of a PDF file, you might be surprised at first. But now I’m going to show you how to do it, and it’s not as hard as you might think. This could be a hard choice to make, but in the end, it works out well. All cookie orders will be sent as PDF files attached to emails, and the Kevin Cookie Company will build and train its own AI using only the mouse clicks of its employees. We have some really archaic practices here. My boss has asked me to copy and paste information from Word into a different database by hand. Is my boss too busy to go to YouTube and watch some funny videos? We will instead utilize Microsoft’s AI Builder to train a computer to carry out these tasks. Before you can use the AI Builder, you need two things: 1) a Microsoft account that is linked to a business or school, and 2) a valid license for the AI Builder. I have written more about this reason further down the page for anyone who is interested. There is a free 30-day trial for people who just want to follow along. So there, these changes must be made through the website.

To get to your Office 365 account, you must first sign in to Office.com. Click the icon in the upper left corner to use it. See if you qualify by visiting the application page: Any number of administrative errands may be quickly and easily automated with only a tap of the “power automate” button. My own gives me a lot of information. I can work with checkboxes, data tables with more than one page, and field extraction. When I look at my order form, the first thing I want to do is get the order number and then the customer’s name, so that’s what I’ll do first. After that, I’ll click “OK” and fill out the rest of the form. When I’m done answering the questions, I’ll click the next button to move on. But what if there was a second order form that had nothing in common with the first? There’s a chance that many collections could do well here. When I need to choose files from my hard drive, I just click the plus sign. I only have to choose five files. To train our model, we need to go to the menu and choose “upload.” When the papers are finished uploading, we can close this window. I need to put a title on this document. I mostly study computers at this school. One example could look like this: When I click on this order, I’ll give it a number and a name. When I’m done with this document, I’ll move on to the other fields and tag them in the same way. When I’m done with this activity, I can always go back to the previous step and tag other fields, and I can always add more papers to my collection at a later time. I’ll also add tags to the four files that are left in my archive. When we click “next next,” a summary page comes up. Then we can start training our model with our sample data. And what is a model, really? It is a computer program that can read your text and tell you where the information you are looking for is. All aboard the “train” of thought!

Let’s go with “see models” for now. Here, I can do a quick check to make sure everything is working, and I can see that my model has been taught to understand my order form and pull the relevant data from the PDF. You will get a short PDF document. The Document is completely labeled. Once I’m sure that everything is as it should be, I’ll click the “publish model” button. The first prototype is finished. This better model will make it easier for me to do my job at the Kevin Cookie Company, but I know it has its limits. This information needs to be used well. Power Apps or Power Automate, which I mentioned before, are needed to use. For those unfamiliar with Power Apps, a quick summary is provided at the top of the page, and a more thorough one is provided below. To illustrate how to really use this paradigm, let’s look at a Power Flow. I’ll go to the “Power Flow” menu item. I have the option of constructing something new or modifying an existing flow. The first one looks like an attachment to an email, which I deal with all the time at the Kevin Cookie Company. Because I like the first choice more, I’ll use it as an example here. With this template, it’s easy to make your own flow. continue doing it and get better at it. Power Automation is great because it can be set up in any way. Let’s say this order comes with an email I get. I could put the information in a spreadsheet or use it to help my team talk to each other better.

You can do whatever you want with it. Now I can see how all of these pieces fit together. First, I send it an email with either my order form or a PDF attached. When I click it to make it bigger, I see that the subject must start with “I” for this to work. I can change the rest of the text as I see fit. The program will look at the attached file, pull out the important information, and use it to write a new email. I could obviously just put this information into a spreadsheet instead of sending out an email. After making sure this Power Flow works as it should, I will now save my changes. With Power Flow, I could also share this information with teams. When model training was done, we put in place a new power automation pipeline. We need to figure out what to do right away. We will do a series of tests to make sure that this Document has all the important information. When I’m ready to buy something, I’ll write a new email with the subject I chose in AI Builder, attach the order PDF, and send it to myself. After that, wait for the file to be sent. Amazingly, as soon as I sent in my order, I got an email with all of the information I had entered. Because of this, I can now cut down on the time I spend working.
