If I told you that we were going to use artificial intelligence to automatically pull data from a PDF file, your first thought might be, “Wow.” But I’ll show you how to do it today, and it’s not as hard as you might think. Even though this is a bit complicated, it ends up being a good choice. Here at the Kevin Cookie Company, we’ve got it all figured out: all of our cookie orders come to us as pdf attachments in emails, and we’re going to build and train our own AI model by clicking our mouses. Several of the ways we do things around here are kind of old. My boss told me to copy and paste information from the Document into a different system by hand. Does my manager not watch YouTube videos? Instead, we’ll use Microsoft’s AI Builder to teach a machine to do all this work for us. You’ll need two things to get started: (1) a Microsoft account tied to a business or school, and (2) a valid AI builder license for your business. I’ve written more about this explanation below for anyone who wants to know more. There is a free 30-day trial for people who just want to follow along. After you sign in to, click the “sign in” button. Use the icon in the bottom left corner. You can check this by going to the page for all applications: With a click on the “power automate” icon, you can automate many kinds of business tasks. Sample templates are given further down the page to show what’s possible. If you have never heard of PowerShell or used Automate before, please watch the video I linked to in the description. All the information you need is right there: Choose AI Builder from the menu on the left, and then choose Build from the drop-down menu on the next page. AI has become clear as a way to make many tasks easier. Here, for example, AI could be used to understand text and then sort comments into good and bad categories to predict what will happen. You can also use artificial intelligence to figure out what is in a picture. That looks pretty fancy to me. I need to start taking care of orders right away, so let’s go back to the documents menu and look at the end of the list.

Pick the model that can handle forms. Now, we need to choose “use a custom model” and then “get started.” When I click “Add,” I’ll be taken to a new window where I can choose which fields from my PDF order form I want to copy and paste into my new form. I can get any kind of information from mine. I can work with checkboxes, data tables with more than one page, and extracting fields. First, I’ll fill in the order number, then click “OK,” and then I’ll go back through the rest of the form. When I look at my order form, the first thing I want to do is get the order number and then the client’s name. Once I’ve filled out all of the fields on the form, I’ll click the “next” button. A collection needs to be put together, which is just a bunch of papers put together in a way that reminds me of the Kevin Cookie Company. Now, we only have one order form with a certain layout. But imagine if you could also use a second order form with a totally different layout and design. This space could work well for a number of collections. Clicking the plus sign makes it easy to choose files from my computer. In this case, I only need to choose five files. All we have to do to train our model is click “upload.” After all the papers have been uploaded, we can close this window on the next screen. I need to label this paper. Basically, this is where I take my computer classes. Here’s what I mean: I’ll click on the order number and give it that name. When I’m done adding tags to this document, I’ll move on to the other fields and do the same thing. I can always come back to this stage and tag more fields, and once I’ve finished this task, I can always come back and add more documents to my collection. I’ll also tag the last four documents in my collection. To start training our model with our sample data, we just click “next next,” which takes us to a page with a summary. So, what does a model mean? To put it simply, it’s an algorithm that can read the information in your text and determine where it is inside the content. Aboard the “train” we go!

Let’s now choose “see models.” Here, I can run a short test to make sure everything is working as it should, and I can see that my model has been trained to understand my order form and how to get that information out of the PDF. I’m going to send a small PDF file to be looked at. Everything in the PDF is called out correctly. After making sure everything is operating as planned, I will go to the “publish model” button. The first prototype is finished. Even though I know this new model will make my job at the Kevin Cookie Company easier, I also know it has its limits. This information must be useful in some way. You can use it with a program called Power Apps or Power Automate, which I already linked to. If you don’t know what Power Apps are, there’s a brief explanation up top, and if you don’t, there’s also one in the description. Let’s use a Power Flow to show how this paradigm can be used. I’ll click on the tab called “Power Flow.” I can either start from scratch or change a flow that already exists. When I look at the first example, I see an email attachment, which is exactly what I’m dealing with at the Kevin Cookie Company. I like the first option, so I’ll choose it; this will be an example once more. Using this as a starting point, making your own flow is child’s play. do it again with equal success. Power Automation is great because it can be used with any other system. Let’s say I get this order as an attachment to an email. I could extract the information and use it in a spreadsheet, or I could use it to strengthen the message being sent by my team.

You can use this in any way you want. I can see how the case fits together. To start, it gets either my order form or a PDF file in an email. When I click on this and make it bigger, I see that the topic must start with a “I” for this to work. Other than that, I can change it to anything I want. It will look at the attachment, pull out relevant information, and then use that information to write a new email. Obviously, I could just put this information into a spreadsheet instead of sending out an email. After making sure this Power Flow works as it should, I’ll click the Save button. I could also share this information with teams or use another Power Flow feature to connect. After training the model, we put in place a new power automation pipeline. Now is the time to count up. We’re going to do some tests to see if this PDF has all the information we need. When I’m ready to make a purchase, I’ll write a new email with the topic I’ve chosen in AI Builder and send it to myself with a PDF of the order. After that, I’ll send the file. Keep an eye out for what happens. It’s pretty cool that an email was sent to me with all of the information from my order form. This will help me get my work done faster.
